Office Manager & Bookkeeper

We are currently looking for an Office/Accounting Manager who can carry out a variety of administrative duties, manage day-to-day office operations, and provide ongoing support to our retail & wholesale staff. The position is a critical part of our daily operations and an excellent opportunity to become a key member of our organization, in a dynamic, fast-paced & exciting work environment.

This Office/Accounting Manager will be responsible for all aspects of Payroll and Banking/Cash Management, including accruals, account reconciliations, both internal and external audits, statutory reporting, maintenance of state sales tax calendar submissions, and ownership of key controls design and effectiveness. This full time position is a hands-on role that balances managing the operations and key initiatives while at the same time executing many of the related assignments and tasks with effective controls to ensure accuracy. Candidate should possess experience and knowledge in the following areas:

Duties and Responsibilities

  • Establishing financial status by developing and implementing systems for collecting, analyzing, verifying and reporting financial information
  • Performing General Accounting including Accounts Payable, Accounts Receivable, and forecasting cash flow
  • Achieving accounting operation objectives by contributing accounting information and recommendations to strategic plans and reviews; resolving problems; identifying trends; determining system improvements and implementing change
  • Manage the accuracy and productivity of day-to-day activities of Accounts Payable, cash disbursements, invoicing/billing, customer credits and collections, payroll, perpetual inventory integrity, fixed asset records, and general & entity accounting
  • Develop, improve and issue timely daily/weekly/monthly financial records for owner and department managers as necessary
  • Establish and monitor procedures for office record keeping and ensure the confidentiality and security of data
  • Design and implement filing systems to ensure that they are all correctly maintained
  • Prepare operational schedules and reports to ensure maximal efficiency
  • Design and implement office procedures and policies (SOP’s)
  • Analyze and monitor internal processes; monitor and maintain office supplies inventory
  • Prepare time sheets, control correspondences, and update organizational memberships
  • Execute policy and procedural changes to develop and improve operational efficiency
  • Manage vendor payments; Insurance, equipment payments, and vendor credit accounts
  • Ensure that all our Insurance, Licenses, & permits, are kept current and filed properly
  • Maintain compliances with all State & Federal Agencies, OSHA requirements, & Workers Comp issues, as needed
  • Manage Human Resources functions including but not limited to: onboarding employees; coordination of benefit plans; compliance with current labor laws; maintaining Personnel Manual & all employee files; and administer disciplinary action – up to and including discharge of employees, if necessary

Education and Qualification * Ideal candidate will have at least 5–8 years of progressive experience and knowledge in accounting and human resources

  • Business Degree (Accounting or HR preferred) or equivalent experience
  • Knowledge of business and management principles
  • Computer skills and proficiency in Microsoft Office
  • Thorough understanding of QuickBooks Accounting Software

Job Type: Full-time

Salary: $62,000.00 – $68,000.00 per year
